Inside the Success of Naivasha Hortifare

Because sometimes, the success of a large event is not found in one spectacular feature, but in the many small decisions that come together to create a smooth, memorable experience for exhibitors, visitors and partners. Here are a few things that stood out for me.

I remember, a few days ago, promising to share with you a little about the Naivasha Hortifare, the biggest horticultural fair in Africa.

Having spent some time observing the event beyond the exhibits, the machinery and the colorful stands, I kept thinking about what actually made it work. What lessons could an event organizer pick from it?

Because sometimes, the success of a large event is not found in one spectacular feature, but in the many small decisions that come together to create a smooth, memorable experience for exhibitors, visitors and partners. Here are a few things that stood out for me.

1. Smart use of branding space

One of the subtle strengths of Hortifare was the decision to use teardrop flags rather than conventional banners along the walkways from the gate. This provided strong visibility and helped create an event atmosphere without filling the grounds with excessive branding. By keeping the larger displays and stands inside the exhibition area, the organizers avoided making the venue feel visually crowded while still giving sponsors and exhibitors visibility.

2. Attention to the visitor experience

Something as simple as watering the dusty walkways made a difference to the visitor experience. With large numbers of people moving around the grounds, controlling dust helped make the environment more comfortable and presentable. It is a reminder that successful events are not only about programming and exhibitors; small operational details can significantly influence how visitors experience the day.

3. Security that protects exhibitors and visitors

Security was another important element. Measures were in place to ensure that machines, equipment, and gadgets leaving the grounds could be checked against their owners. For an exhibition featuring expensive agricultural machinery and technology, this provides exhibitors with greater confidence that their investments are being protected. Effective security therefore becomes part of the value proposition offered to exhibitors.

4. A food and hospitality hub at the heart of the event

The village positioned at the center of the fair added another practical dimension to the visitor experience. It provided accessible and relatively affordable food and drinks, giving visitors and exhibitors a convenient place to take a break, meet and interact. For a full-day industry event, providing comfortable spaces for refreshments can help keep people on site for longer and create additional opportunities for informal networking.

5. Efficient ticketing and controlled access

Hortifare also demonstrated the importance of getting the basics of entry right. Ticketing began early, from around 8am, allowing visitors to enter without unnecessary delays. This was supported by security procedures, including a bomb sweep of the grounds before opening. The combination of safety checks and an organized entry system helped create a smooth start to the event.

6. Choosing a venue that can handle scale

The Naivasha Sports Club grounds provided sufficient space for one of Africa's major horticultural fairs, allowing the organizers to accommodate large visitor numbers, machinery, exhibition stands, food areas and movement between different sections of the event. For organizers, venue capacity is about more than the number of people it can hold; it must also allow an event to breathe, with enough room for exhibitors, visitors and supporting activities.

7. Location matters

Holding the fair in Naivasha was another strategic advantage. The town is centrally positioned for many agricultural producers and sits within a wider Rift Valley region that is an important horticultural and agricultural hub, with flower farms as well as cereal and other commercial farming activities. The location therefore placed the event relatively close to a significant part of its target audience.

8. Bringing the entire value chain together

The diversity of exhibitors was one of Hortifare's major strengths. The event brought together players from across the agricultural and horticultural value chain, including crop-protection and IPM companies, seed companies, financial institutions, machinery suppliers, packaging companies and other corporates. For visitors, this creates a one-stop industry experience, while exhibitors benefit from meeting customers and potential partners beyond their immediate segment.

9. Exhibitor stands became part of the experience

The quality of the exhibition stands also contributed to the overall impression. Stands were generally well constructed, branded and decorated, creating professional spaces in which exhibitors could receive customers and guests. Some went further to create hospitality experiences around their brands. Bayer and Amiran, for example, used their spaces not merely as product-display areas but as places where visitors could sit, interact and engage with the companies.

10. Products were made tangible

Hortifare also benefited from good product presentation. Exhibitors displayed merchandise and, in some cases, provided samples for visitors to examine or take away. This is particularly valuable in an agricultural exhibition, where farmers often want to see, touch and understand a product before considering its application. The lesson for organisers is that exhibition design should encourage interaction rather than simply provide rows of display booths.

11. Consistent exhibitor branding

Finally, strong exhibitor branding helped give the fair a professional and coherent appearance. Clearly branded stands made it easier for visitors to identify companies and navigate the exhibition, while giving exhibitors visibility throughout the grounds. Good branding therefore served both the event and the individual exhibitors: it strengthened the identity of Hortifare while giving participating companies space to establish their own presence.
